How to use Ko Awatea LEARN

Ko Awatea LEARN does all the same things that Te Puna Kōrero did. A few things are named differently or located in a different place. Here are a few hints for finding your way around.

Where do I see my seminar bookings?

In the set of links across the top of the page, click on My Learning then on My Bookings. This will take you to a report showing all your future bookings. From the same place you can also see all your past bookings.

How do I see the courses I have completed?

This is your record of learning. Again under the My Learning tab you can select Record of Learning or the Verified Record.

The Verified Record is perfect for providing to maintain your annual practicing certificate.

Where do I see my Progress with courses?

Scroll down on the homepage in Ko Awatea LEARN and you will see a block called Learning in Progress.

Can I see if my booking requests have been approved?

The My Bookings page  shows the status of any future booking.  Some seminars may require manager approval. You can see if a booking is Awaiting Approval.

How do I know what courses are required

Currently the best approach is to discuss this with your manager or educator.

Can't find a course?

Use "find learning" to search by keywords with the filters to restrict results.

Looking for course completions in your Verified Record of Learning?

The systems is busy updating records and calculating certifications. If you don't see one of the courses you believe you already completed, please wait a few days and check again that it the record has finished processing.

A certification is not up-to-date?

Due to the load on the system from bringing all the records over, we have set certifications to start up over the next couple of days. This manages the volume of calculations the site has to do. Please wait until next Monday and let us know if your certificates are not all looking okay then.

What's different?

Not a lot really. The main things you'll need to get used to are:

  • There are a lot more people in Ko Awatea LEARN. If you enrol or book people on a course, you'll need to pay attention to their email address to ensure you have the right person.
  • There are a lot more courses and other districts may have courses with the same name. So when searching, always start by filtering for your district. And maybe book mark in your browser courses you go to often.
  • There's a lot of reports you can use. Many of the reports are probably no longer needed and we will be reducing them over time. Because there are so many courses and people, you will need to use the Search By filters.
  • Please don't schedule reports to be sent to you - this puts a lot of load on the system. If you have a regular need for a specific report please talk to us.
  • If you save a search please make it Private. This prevents everyone else seeing your saved searches.

All of the reports can be found under My Reports.

How to request a new course be set up or an existing one updated?

There is a central process in Kāpehu where you can complete a request on the Learning & Development page.

Manager role

If you have people reporting to you, then you'll have the Manager role in Ko Awatea LEARN. This allows you to see your team and what training that have done or are booked on.

In Ko Awatea LEARN there is a menu tab called My Team

My team members

This report shows everyone who reports to you and has links to things like their account profile and their course bookings.

My team's upcoming bookings

Shows you exactly what the name says. It also has links to course booking requests that are awaiting your approval.

My team's past bookings

Really useful is you want to check who attended what training.

My team's course completion progress

This report shows all the courses completed by every team member. You can use the Search filters and look at just one person and all their courses, or just one course and everyone who's completed it.

When you first open it, it shows just courses completed in the last year. There are instructions for how you can use it in different ways.

Team members not showing in list

We use payroll data to link people to their managers weekly. Where employees and managers are across multiple payrolls, this requires manual loading. We expect less errors will occur as payrolls begin consolidation work .
